Overview
Asmbly seeks to hire a part-time Facilities Coordinator (FC) who will help us ensure:
- facilities and tools are properly maintained,
- member needs are satisfied and exceeded,
- operations are sustainable long term, and
- organization’s mission is achieved.
This role is about being a force multiplier and focuses on maintaining physical operations efficiently through effective delegation. While the Facilities Coordinator (FC) should be capable of performing the tasks outlined, they should prioritize ensuring tasks are completed, not necessarily by doing them personally each time. In essence, the FC is responsible for overseeing and maintaining the physical space, ensuring that all necessary tasks are accomplished.
The ideal candidate for this role is a proactive problem-solver who thrives on finding creative, timely, and cost-effective solutions. They must possess exceptional organizational skills to effectively prioritize a high volume of ongoing tasks and maintain composure in a dynamic and continuously evolving work environment.
This is a part-time position reporting to the Facilities Manager, requiring 20 hours per week, with the flexibility to work up to 4 hours remotely.
Requirements:
- A natural inclination for fixing and improving things, whether it’s through personal projects, hobbies, or volunteer work.
- Highly organized and takes initiative, demonstrating a track record of seeing tasks and projects through to completion.
- A keen eye for identifying problems and a knack for finding practical, creative solutions, even in non-traditional settings.
- Strong commitment to safety and a quick learner when it comes to new technical skills or processes.
- Excellent communicator and collaborator, comfortable interacting with diverse groups and effectively sharing information or teaching others.
- A resourceful “can-do” attitude with a positive outlook on continuous improvement and learning.
Recommended Experience:
- Prior experience in a hands-on, maintenance-focused role (e.g., managing a workshop, maintaining personal property, or volunteer work with physical infrastructure).
- Experience in a community-oriented or member-driven environment (e.g., volunteer coordinator, community manager, or similar roles where you supported a diverse group of users).
- Demonstrated ability to follow and/or develop maintenance schedules for tools or equipment.
- Familiarity with basic safety protocols in a workshop or industrial setting.
- Experience with purchasing or inventory management of supplies and equipment.

Details
Physical Tasks
- Be physically present on the Asmbly campus the majority of hours work, spread over at least 3 days per week. Expected to be onsite at least a few weekend days per month.
- Up to 4 hours of remote per week
- Ensure the shop is clean, trash is emptied, and tools are put away.
- Reinforce shared cleaning responsibility to members. Every member should clean up after themselves plus some additional to help maintain a clean communal space.
- Promote better cleaning culture within the community.
- Ensure cleaning that needs to be done on a scheduled basis is completed, such as cleaning the dust collector filter.
- Oversee maintenance throughout the building to include: lighting, doors, ACs, bathrooms, as well as building exterior.
- Enforce Asmbly policies with members.
- Investigate reports of cleaning issues and send enforcement notices to responsible parties.
- Triage and respond to problem reports.
Administrative Tasks
- Meet with facility contractors onsite as needed (e.g. quarterly HVAC maintenance).
- Maintain appropriate stock of basic supplies and consumables (bathroom, coffee station, trash cans, etc).
- Ensure necessary supplies requested by leaders and staff are ordered.
- Report budget increase requests to Facilities Manager.
- Manage hosting and rental agreements including terminating agreements as needed.
- Ensure tool and equipment assets are properly tagged and logged.
- Work with the Director of IT to ensure computer systems are operational.
- Perform software and OS updates
- Maintain software licenses
- Respond to user requests for system changes and new software additions
- Report to Facilities Manager general updates about the day to day concerns and vibes of the space on a monthly basis.
- Note: Concerns and issues should be brought forth immediately.
Coordinating Tasks
- Oversee staff and volunteer efforts to ensure maintenance is completed.
- Assist in recruiting volunteers for various facilities programs and committees.
- Work with volunteers and contractors to make improvements to floor plan and machine addition/removal.
- Note: Facilities Manager has final authority of decisions in this realm.
- Develop and implement maintenance plans for critical equipment.
- Identify requirements for spare parts on hand.
- Ensure machine maintenance schedules are maintained and followed by volunteers whenever possible.
- Assist Leadership Team in development of future tool plans / acquisitions.
- Help create tool onboarding plans including infrastructure needs (e.g. space, electrical, safety precautions, etc).
- Organize quarterly community work days in collaboration with Shop Area Leads.
- Oversee and promote safety within the space.

- Ensure proper safety equipment is available for member safety, such as glasses and hearing protection.
- Correct unsafe behaviors when observed and document when egregious.
- Ensure unsafe conditions and equipment are remedied as quickly as possible.
- First Aid
- Ensure first aid kits and eye wash stations are appropriately stocked.
- Fire
- Ensure doors are operational and unblocked.
- Ensure fire suppression is clearly marked and in operational order.
- Ensure emergency lighting is in place and operational.
